Using SheetScopewith your spreadsheet.
How SheetScope reads your file, what the cleaning review changes, and what happens to your data.
Getting started
You can try everything first in the sample dashboard. It uses an invented business, Kestrel Provisions, and needs no account.
- Create your workspace with your email address. We send a sign-in link; there is no password.
- Start a project. Give it a name and choose Weekly sales or Annual sales.
- Upload an Excel (.xlsx) or CSV file and choose the sheet that holds your sales records.
- Check the columns and the proposed cleaning, then confirm.
- Explore the dashboard, then download a report or the cleaned data.
Supported files
CSV files and Excel workbooks (.xlsx) up to 20 MB. SheetScope reads sales records only, not stock sheets.
Macro-enabled workbooks (.xlsm) are refused. Older .xls files are refused too: open them in Excel and save a copy as .xlsx.
Layouts we read
- Long tables: one row per transaction, or one row per period and product summary.
- Several sheets with the same columns, combined after you confirm them.
- Weekly tabs named “Week 1”, “Week 2” and so on.
- Wide layouts with one column per period, such as “Week 01” to “Week 53”, or month names. These are unpivoted into one record per product and period.
How the period can be recorded
- A date on each row.
- A week-start or week-ending date.
- Year and week number, using ISO weeks or a custom week 1 start date you choose.
- Year and month.
- Annual totals.
Formulas
Formulas are never run. SheetScope uses the result Excel saved with the file. If a formula cell has no saved result, it is reported so you can recalculate and save the workbook in Excel, then upload it again.
The cleaning review
Before anything is calculated, you see each proposed change, how many rows it affects and before-and-after examples.
- Safe changes are on by default: trimming extra spaces, removing completely blank rows, and treating names that differ only in capitals as one.
- Subtotal and total rows are excluded by default, and you can see and change that choice.
- Rows that look identical are never removed automatically. Two matching rows may be two real sales.
- Ambiguous dates and files with more than one currency need your decision before they are used.
- Missing values stay unknown. They are never treated as zero.
Every import keeps a reconciliation: the total found in the source, the total included, and what was excluded and why. Each cleaned record keeps a reference to its original sheet and row.
Weekly and Annual sales
Both modes use the same cleaned data and the same calculations. The mode decides what the dashboard and report focus on.
Weekly sales
Focus on one week. Daily charts appear when your rows have dates.
Annual sales
Follow a year by week or month, with products, branches and customers where your file has them. A partial year is labelled as partial; missing weeks are shown as missing, not filled in.
A comparison with last week or last year appears only when your file has records across that earlier period. Every plan includes both modes.
Reports and downloads
- PDF report: the charts and a period summary for the view you chose. A report keeps the data version, period and filters it was made from.
- Cleaned data: download the working copy as CSV or Excel.
- Original file: kept as you uploaded it, alongside every version made from it.
Figures and notes are calculated from your rows. Each metric has a written definition you can read in the dashboard.
SheetScope AI
- Column mapping: on the import screen it suggests which column is the date, the sales value, the product and so on, and points out anything you should check, such as a missing year or values in thousands. You confirm every choice.
- Written summary: a few sentences about the selected period. A summary with a figure that isn’t in the calculated results, or one that claims a cause, is rejected; after one retry the calculated summary is shown instead.
- Questions: ask things like “Which branch sold the most in Q4?” or “How did sales move month by month?”. SheetScope AI works out which calculation you mean; the engine calculates the answer, and you can see how it was calculated and open the same view in the dashboard. Ask about a product that isn’t in the file and it says so. A near spelling is matched to the closest name, and the answer tells you which.
- It cannot tell you why something happened. It shows what changed and suggests questions worth checking in your own records.
- Every plan includes SheetScope AI requests. Asking the same question again on the same data doesn’t use one. Requests in a Project Pass project count against that pass, not your monthly allowance. Calculated summaries don’t use requests, and everything else keeps working without SheetScope AI.
How your data is handled
- Your original file is stored privately in your workspace and kept as uploaded.
- Each import makes a new version. Earlier versions are not overwritten.
- Downloads protect against formula injection: text cells that start with =, +, - or @ are made safe so a spreadsheet program will not run them.
- Every figure and note is calculated by SheetScope from your rows. Whole files are never sent to an outside service.
- SheetScope AI receives only what it needs. When mapping: the file and sheet names, column names, value types, counts, number ranges and up to three short examples per column. Columns whose names look personal, such as name, phone, email, address, BVN or NIN, send no examples or number ranges. When writing a summary: the calculated figures already on your screen. When answering: your question, your column names and periods, and the names of your products and branches, plus customer names only when there are 30 or fewer. The privacy notice names the cloud service that runs it.
- The public sample data is stored separately from customer files.
- You can delete a project permanently from your workspace.
The privacy notice has the full detail. Trust and data sets out what SheetScope keeps, who can see it and what SheetScope AI receives, and How it works follows a file from upload to report.
Account and sign-in
- Sign in with your email address. Each sign-in link works once and expires after 20 minutes.
- You stay signed in for 30 days on that browser unless you sign out.
- If a link has expired, request a new one from the sign-in page.
Plans and billing
- Free includes one private project. No card is required.
- Project Pass is a one-off payment for one project for 30 days. It does not renew.
- Pro is paid one month at a time. Nothing renews automatically; paying again early adds the month after the one you have.
- Only successful imports count towards your allowance. Failed imports, retries and browsing charts do not.
- Payments are handled by Paystack. Your card details go to Paystack, not to SheetScope.
